Virtual Presentation Guidelines and Information

Poster Guidelines

As a poster presenter at WSC3, you will be required to upload the following information via the poster submission and consent form by September 6, 2021:

  • PDF of your poster
    • Landscape format is recommended
    • Less than 2MB in size is recommended for easier loading
  • Bio and head shot
  • Abstract ID number and title

Please note: The pdf will be available on demand in the virtual conference platform for attendees to view at any time during the conference.  It will also be added to the Gather.town environment for the virtual poster session.

Posters Q & A

Poster presenters will be assigned a specific poster session during which they will be asked to be available to “stand” at their posters located in the Gather.town platform, to take part in the interactive poster session.  Poster presenters and delegates will be able to discuss the poster via video chat while viewing the poster.

When a poster presenter is not in the virtual poster hall (due to time zone issues, other commitments, or a different poster session), the poster pdf and abstract will be available in the virtual Underline platform for attendees to brose and review.  Questions can be left in the Underline platform for poster presenters.

Virtual talk guidelines

All individual oral talks will be pre-recorded in advance and scheduled in the program at specified times, with live Q&A following each talk.  These pre-recorded videos will also be available on-demand, both in advance of the live session and post conference.  The aim of this set-up is to minimize stress and technical issues, while still providing opportunities for open dialogue and flexible viewing options.

Please note: All pre-recorded videos will be closed captioned, so it is best if you are presenting information in your slides to leave room on the bottom of the slides for captioning.  Ideally, leave the bottom 1/8 of your slide blank for this purpose, if possible.

While the primary language of the World Seabird Conference is English, the recorded presentation format of the virtual meeting allows us more flexibility in having non-English presentations translated with English captions. However, the automated captioning service that we are using can only translate English. Therefore, if you have the ability to insert your own English captions in your recorded presentation, then it would be acceptable to submit a presentation in your native language with English captions. English translations within slides and graphics is also acceptable, but please ensure enough room so that both languages are equally readable on a small screen.

The presenting author will have the opportunity to review the captioning file to ensure correct terms are used.  The captioning file will be sent directly to the presenting author approximately two weeks before the conference begins.

Each individual talk for WSC3 will be required to upload the following by September 6, 2021:

  • 12 minute (max) pre-recorded video presentation (with or without slides)
    • You do not have to have your video on if you’d prefer to record with audio only
  • Optional supplementary material (slide deck/graphs & charts) as a pdf
  • Bio and head shot
  • Abstract ID number and title

Talk Q & A

Individual paper presentations will be moderated by a chair who will introduce the session, play the pre-recorded videos through a screenshare, and manage the live Q&A session with the speaker.  Questions can also be left in advance or following the session for the author to reply to via text.

Symposia Guidelines

Each symposia is a unique session with talk durations and presentation formats dictated by the organizer of the session.  Please contact your symposia organizer for more information regarding the duration and format of presentation.

If the symposia organizer requests pre-recorded videos, kindly review the deadline and requirements below.
